Wells Fargo is seeking an Associate Executive Specialist supporting the Head of CAO Technology & COO Architecture & Engineering leader. This role will support day to day execution, communication, and efficiency enablement.
In this role, you will:
- Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables, and pulling routine reports
- Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
- Support the facilitation of larger meetings and events by handling tasks such as but not limited to, room reservations, catering orders, meeting invites, and onsite production support.
- Serve as a delegate to CIO for approved system tasks (Workday, Recognition Central, AIMS, etc.)
- Support CIO with onboarding tasks for their senior leadership team
- Act as information source on key topics such as travel booking and expenses, in-office employee amenities and policies, and corporate site events.
- Support projects
- Assist with budget planning and compile statistical data for financial planning
- Act as information source on group and company policies
- Receive direction from supervisor and exercise judgement within defined parameters while developing understanding of the Administrative Support function
- Collaborate and consult with peers, colleagues, and managers to resolve issues and achieve goals
- Interact with external customers
- 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
- Experience supporting senior level leaders/executives.
- Excellent verbal, written, and interpersonal communication skills.
- Ability to manage changing travel itineraries, accurately manage expense reimbursement.
- Manage a busy calendar and appointments flawlessly.
- Ability to work effectively in a hybrid environment where key team members and partners are in various time zones and locations.
- Ability to make timely and independent judgment decisions while working in a fast-paced and results-driven environment.
- Ability to take initiative and work independently with minimal supervision in a structured environment.
- Ability to develop partnerships and collaborate with other business and functional areas.
- Strong attention to detail and accuracy skills.
- Strong organizational and multi-tasking skills.
- Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams LiveMeeting and SharePoint) skills
- Experience with Workday, SAP Concur, and AIMS
- Administrative support experience in banking or financial services
- Concur experience
- Experience supporting senior leadership and multiple managers
- Experience making timely and independent judgment decisions while working in a fast-paced and results-driven environment
- Highly organized with strong attention to detail
- Willingness to work on-site at stated location on the job opening.
- This position offers a hybrid work schedule.
